Requesting a U.S. Flag

Flags used for a civilian retirement are generally purchased by the supervisor or paid for with donations from the unit. Visit the website for your  Senator or Representative. Many Members of Congress have directions and order forms available online. If instructions for making flag requests are not online, contact your Senator or Representative for instructions. Complete the form and return with your payment to your Senator or Representative, who will forward your request to the Architect of the Capitol. Depending on the size of the flag, the prices range from $13.25 to $22.55 (plus shipping and handling). NOTE: The prices above do not include shipping and handling since it varies by location. The largest flag able to be flown over the United States Capitol is 8’ x 12’. Order yours direct from you representative.

Flags are typically displayed in decorative flag cases and you must fold the flag correctly for it to properly fit the case. Flag cases can be ordered from Just Write Laser Engraving. Requesting a Letter From the President

 

Administrative POCs may request a letter from the White House for a civilian employee retiring with 30 years or more of Federal service (this encompasses those who have combined military and civilian service as well as those with straight civilian service.), Administrative POCs should send a memorandum that includes the information listed below. A lead time of 60 to 90 days is needed to ensure timely delivery of the Letter of Appreciation. For those who make a last minute decision to retire, the letter can be sent to the home address.

Krista, one of our site visitors, requested a letter for one of their employees in October and didn't receive a reply until January 9th the following year. It took 71 days for the letter to arrive.

Requests can be sent direct to the Whitehouse or through your U.S. Representative’s or Senator’s office. There is a chance the letter will not arrive on time due to the large number of requests received by the Greetings Office. If this is the case, advise the recipient that the letter has been requested and will be sent to him when it arrives. The earlier your request is sent the better chance you have of receiving it on time.  Mail or fax requests to the address listed below or contact your representative’s office for assistance.

  • Employees name (Include Mr., Mrs., etc.)
  • Home address
  • Retirement date
  • Years of service, agency that the employee worked for when he/she retired
    • If employee worked for multiple agencies and departments list each and dates
    • Note: Must have 30 or more years of federal service
  • Requestor’s unit, name, address, and phone number
  • Special mailing instructions (advise whether to send letter to home or unit address)
  • Point of contact for this request

Former President Letter Requests Presidential letters of appreciation from former presidents

If the retiree wishes a letter of appreciation for their service from a former president instead of the current one you can contact the former president's staff to request this service. Requests should include at a minimum, full name and rank (military members only) of retiree, date of retirement, address, name, and phone number of contact person. Other information may be required. Requests should be submitted on agency or command letterhead.

When sending letters to former Presidents, the proper form for addressing the envelope is: The Honorable (President’s name)
